Christmas Market Stallholder Application Form

Event: OUTSIDE CHRISTMAS MARKET

Dates: 26 November, 27 November, 28 November  29 November

Times: 3.30pm -7.30pm (26,27,28 November)   29 November 11.00am – 3.00pm

 

What you need to know

The Hawk Conservancy Trust and Feathers Restaurant will be closed for the days of this event.

Set up time: From 1pm on 26, 27, 28 November, and 9:30am on 29 November

Please note: stallholders attending multiple days can leave stock at their stalls, at own risk of the stallholder. The Hawk Conservancy Trust takes no responsibility for loss of or damage to items left between sessions.

Stallholders will be met at the gates by a member of staff who will direct them to the closest access point for their stall pitch to park and unload. Vehicles will not be allowed into the Trust itself. Staff may be able to assist with unloading. Once unloaded, stallholders will be required to move their car to allow more space in the main car park to allow more space for visitors. Staff will be on hand to guide you. Car parking is free.

 

Pitch Fee:

Pitch fee is £45 per table per day for inside tables. £40 per table per day for outside tables (all tables are under cover). Double pitches can be purchased subject to availability. We provide tables for stall holders. We will do our best to make the tables sizes fair, however sizes vary slightly. Please see dimensions below. If stallholders prefer to bring their own tables please let us know and we can make sure we leave a space for them.

Tables are approximately by 59/65X30/34 inches. 190cm x 70cm

 

Pitch Allocation:

Pitches will be available inside Feathers Restaurant, Griffon Rooms, Burrowing Owl enclosure, and in outdoor covered areas. Allocation of the stall pitches available will be at the discretion of the event organiser. Gazebos are not required. All stall pitches will be undercover with lighting.

 

Power:

There are a limited number of power points available for some of the stall areas. Access to electrical sockets must be discussed and arranged in advance. An additional £5 will be included if your slot is booked with power.  Stallholders requiring power for their stall must produce a current PAT testing certificate for the item requiring power. If a PAT Testing certificate is not shown, we will have to perform an onsite PAT test which will cost an additional £5. Stallholders that require power must provide their own extension lead which must also be PAT tested.

 

Insurance Cover:

All stallholders must hold and be able to produce a current Public Liability Insurance Certificate. If you are unable to provide the certificate your application will be withdrawn.

If a catering stall you must hold the relevant hygiene certificates.

 

Selling toys, or items that could be mistaken for toys

To comply with current UK toy safety regulations, and to protect our customers and traders, every toy offered for sale at our markets, or items that could be mistaken for toys, must be fully compliant with the Toys (Safety) Regulations 2011 and correctly conformity-marked. All toys sold at our markets must carry the UKCA mark (and any other legally required information as set out in the regulations).

Please make sure you have this available (either printed or easily accessible) if needed. Non-compliant toys will be removed from sale, and ongoing non-compliance may affect your ability to trade at future events.

 

Marketing:

The Hawk Conservancy Trust will promote the Christmas Market on a variety of channels including (but not exclusive to) its website, social media channels, via direct mailing to the customer database, through leaflet drops, and in-house poster sites from February 2026.

 

Attendance:

Public admission to the Christmas Market will be available in pre-booked timed hourly sessions. Tickets will costs £3.50 with all proceeds supporting the work of the Hawk Conservancy Trust. Tickets can be purchased via our website. We are allowing visitors to walk up on the day, charging them £4.00 a ticket.

 

Payment for your pitch:

If your application is successful you will be sent a booking reference code. Please call us on 01264 773850 and quote your code so we can take payment for you. Bookings must be paid before the deadline date set which will be communicated to you if you are successful If payment is not made by this time, you will risk losing your pitch. Stall pitches are non-refundable from the 25 October 2026
